Wireless Warehouse Receiving With Handhelds

Overview
The document will go over the process of how to receive material using handheld devices within your Wireless Warehouse.
Assumptions
To begin this process, it is assumed that your warehouse has been configured for wireless connectivity, and you have the application installed on our recommended devices. In addition, you have your warehouse locations built, and labeled. Lastly, Wireless Warehouse settings are turned on, and access and security has been configured for any users using the handhelds.
Within the Handheld App -
Will need to change the default display size from default to small to ensure the menus and details properly fit within the screen.
Admin Settings to Consider
Within the desktop application there are a couple of handheld settings you may want to consider/configure before using the handheld.

The following settings can and do relate to the Receiving Process:

Related to Receiving Process:

Putaway Prompt to learn barcode - when selected as you put items away the handheld will prompt you to scan the barcode/UPC of the item as you put it away so over time valid barcodes/UPCs will be on file for easy receiving in the future. The prompt will allow you to bypass it if you so choose.

Force Putaway learn barcode prompt to list selection - when selected as you choose to putaway items from a bin, i.e. receiving bin in a list view, again this prompt the user to scan a barcode/upc as you put away items, however you can NOT bypass this prompt and must scan each item. If there is already a barcode/UPC on file you will get prompted to add an alternate.

Additional Settings to consider:

HH Recall Last Template/Printer Selection - When printing an inventory or location labels, if this setting has been selected, your default printer and label templates will automatically be preselected for you.

Using Holding Bins - When selected as part of the receiving, shipping and our counting process the handheld workflow will consider that you are using system bins to place items in or out during these processes which will require you to enter or scan these bins before proceeding.

Receiving
Within the application receiving is broken into three areas:

Receive Items
-
Process Back Orders
-
Put Away Item
The sections below will cover each area, which ties into a single workflow.
Receive Items
In addition to just receiving your orders via the handheld, you can also use this receiving process to begin capturing barcodes for items if you don’t have them already barcoded within the system.
Once logged into the application select > Receiving > Receive Items
- NOTE: If at any time you need to go back a step just select the < Back button.

Next Scan or Type the PO number or you can enter an item number on the PO.

Then scan or enter the packing slip number

Enter or scan the Holding Bin in which you are placing the item in. NOTE: Bins and Inventory Location names can NOT have spaces.

Scan, type, or select an item from the PO
-
Once you’ve selected or scanned an item you will then be presented with the following information.

Qty Ordered and whether it is stocked or not.
-
Qty Remaining - this information is helpful if you didn’t receive the full amount ordered and may have multiple releases.

Qty Received - Enter the Qty you received.

The Holding Bin in which you entered/scanned in the previous screen.

Inventory Location - This will display the default location for the item you are receiving. If this item is in multiple locations it will be displayed like this:

When you select “Multi” it will show the locations in which this item is assigned to.

The other option you have is ‘Put Away Directly’ meaning you are going to place the item directly in its default location in your warehouse.

In the Put Away Directly screen, you will also have the option to Receive to a Bin or Change the default location.
-
The other option on the Main screen is ‘Change Bin’ which will allow you to change the Bin information you selected in the previous screen.

The last option you have is the ‘Print’ option. This will allow you to choose your label template, printer, and the number of copies.

When you are all set receiving the items from the PO, select OK.
-
As you receive your items on the PO the item will turn green to let you know that it has been fully received.

To save your entries select ‘Finish PO’ to get back to the Receiving screen.

NOTE: In the event while receiving if there is any material that is being received can be used to fulfill any open back orders you will receive the following prompt
-
From here you can select ‘OK’ and these items will be moved within the system from the Receiving bin to the ‘Held for Backorders’ bin. The order will then appear in the next step ‘ Process Back Orders’. You can also print a label from here as well.

Or you can select ‘Skip’ to skip this process of moving these items into the ‘Held for Backorders’ bin but instead you will be placing all quantities into their default location.
Process Back Orders
The next process in receiving is Process Back Orders. As you receive material, the system will automatically look for any orders that can be fulfilled by what you are receiving. When you process the back orders, it will begin the shipping process for those items for those orders.

When you select Process Back Orders you will see all available backorders that can be fulfilled by the received material.

In addition to the list of available orders where shippers can be created, you have the following filters:

Unlocked Orders Only - This means all orders that are not opened already by someone else will appear.

Orders Locked by me Only - This means you will see all orders that you may already be in on the desktop application. If you have orders that are locked by you, select ‘Unlock Mine’ and the system will do so.

Only recently received by me - This means exactly that, it will show all the recently received items by you.

Review the shipper and details and if you want to create the shippers leave the order checked. If you do not want to create a shipper for an order - make sure you deselect it. Once you’ve made your decision select ‘ Process’. PickTickets/Shippers will automatically get created for those orders.
Put Away Items
After receiving the PO, and separate material that needs to be held for backorders and or put away in the item's default warehouse location.

If you have not directly put the items away during the Receive Items process you will select Put Away Items, and select or scan the bin in which you are putting the items away. Most likely this will be your receiving bin.

Then either enter or scan the item, or select to view the current holding bin you entered on the previous screen. By selecting to view by the bin it will show you all items located in that bin

Scan, type, or select an item from the bin and select ‘Next’

You will now be prompted to scan the warehouse location for this item or have the ability to change the location for this item.

Additionally, if you need to print a label you can here on this screen as well.

Next, specify how many you are putting away and compare it to how many are in the bin you are pulling from, to ensure you are putting away all the items.

When all set select OK. The system will now move the items from the bin and place the stock available within its default location.

Finally, repeat this process when all the items have been put away.
Other Common Scenarios
The below subtopics will go over other common scenarios that happen during the receiving process.
Receiving lesser quantity of an item
During the receiving process when you are scanning and counting items to be received there could be a scenario in which items could be missing and or have received more than ordered.
- Following the Receive Items process above, when you scan or select an item that needs to be received but some are missing you will do the following:
Receiving Less Material

On the receiving screen enter the quantity of material you received knowing that it less that what was ordered and select ‘OK’
-
The item details will now reflect the Qty Order, Remain, and Received.

Once you have completed receiving this PO select ‘Finish PO’ and the system will automatically create a new release for the remaining items for this PO to be received at a later time.
Receiving More Material

On the receiving screen enter the quantity of material you received knowing it is more than what was ordered and select ‘OK’
-
The item details will now reflect the Qty Order, Remain, and Received.

Once you have completed receiving this PO select ‘Finish PO’ and the system will automatically update the overage on the receiver, and PO but will not update the quantity ordered.
Editing Receivers
In the scenario while you are receiving and made a mistake in your counting or bin location and need to make edits to the receiver information.
Editing Quantities Received

Enter or scan the PO to view its contents.

Select the item you wish to edit the quantity
-
If changing the quantity received select ‘Edit’
-
On the next screen, you have a couple of options. Delete your entry or edit the quantity.
-
If you delete your entry the material will be reverted back to its original state. In the example above I want to edit the quantity received. Since I can’t edit the quantity in the Held for Back Orders Bin, I will first need to delete “remove” the items from the held for backorders bin to place them back into the receiving bin.

Now I can select ‘Edit’ , make my changes to the quantity and select ‘Ok’ to save my changes.
Editing Bin Locations
- In the scenario where you need to move or edit bin location, you will first need to bring up the item on the screen during the receiving process.

Select ‘ Change Bin’.

Scan or enter the new Receiving Bin location, and select GO and the new bin location will be updated.

If you want to change the location as you are putting the material away. Instead of scanning the default location select ‘Change Location’

Next Scan or type the new location you want to put this item away at and select GO
-
Once the change has been made, if need be you can print a new label for this location change. Confirm the quantity you are putting away and select ‘Ok’.
